Records Management Survey & Audit, Recommendations, Implementation
Problem
Standards Australia were relocating and required assistance with their records management processes. Staff were used to holding large amounts of paper files and records. The project team had proposed an open plan workstation layout with a lot less storage. the objective was to increase teamwork and communication by providing a lighter more modern workplace.
Solution
CFS was engaged to do a records management systems & filing survey. The initial findings of the survey indicated that each staff member had the equivalent of 7 lineal meters per staff member and existing processes caused duplication. CFS proposed a solution involving a mix of policy & procedures that would enable staff to work with less storage. Standards were committed to change and as part of the move strategy committed to implementing the use of electronic storage methodology. CFS assisted with the overall policy and focused on reducing and handling the paper. CFS managed a tender for off site storage. Facilitated a pilot team and them implemented the processes across the organisation. Facilitated Conversion to Shelf Lateral Filing where appropriate; Labeled filing & storage prior to move for removalist to facilitate relocation process
Result
CFS managed to enable Standards Australia to move to their new site, reducing the level of paper storage from 7 lineal meters per head to 1 lineal meter per head. Teams moved with new robust systems, with less reliance paper storage and an environment not cluttered with storage cabinets.
